Privacy notice

This notice explains what personal information Pro Mile Ltd collects through this website and through the enquiries, applications and registrations that start here, why we use it, and the rights you have over it. It is written for the UK GDPR and the Data Protection Act 2018.

Who we are

Pro Mile Ltd is the controller of your information. We are a road haulage company registered in England & Wales, company number 09835403, registered office 10 Misterton Court, Orton Goldhay, Peterborough PE2 5TQ.

What we collect and why

Quotes and enquiries

When you ask for a quote, trailer hire or anything else, we receive what you put in the message: usually your name, company, phone number, email address, collection and delivery places, and the details of the load. We use it to answer you, to price the work and, if you go ahead, to arrange and carry it out.

Lawful basis: taking steps at your request before entering into a contract, and performing that contract (Article 6(1)(b)). Where you write on behalf of a business, our legitimate interest in answering business enquiries and dealing with our customers (Article 6(1)(f)).

Subcontractor and partner registrations

We receive your name, company, contact details, the vehicles you run and where you are based. We use them to decide whether we can offer you work, to onboard you and, if we work together, to pay you and manage the work.

Lawful basis: steps before a contract and performing it (Article 6(1)(b)), and our legitimate interest in finding reliable partners (Article 6(1)(f)).

Job applications

We receive the role you are applying for, your name, contact details, where you are based, what you tell us about your experience and licences, and your CV if you attach one. We use them to consider you for the role and to contact you about it.

If we offer you a job, we have to check that you have the right to work in the UK, and for driving roles that your licence, Driver CPC and tachograph card are valid. We will tell you what we need before we ask for it. Please do not send health information or details of criminal convictions with an application; if a role needs them, we will explain why and how we handle them first.

Lawful basis: steps before a contract (Article 6(1)(b)), our legitimate interest in recruiting the right people (Article 6(1)(f)), and our legal obligations for right-to-work checks and driver licensing (Article 6(1)(c)).

Visiting the website

The website sets no cookies, runs no analytics and loads nothing from other companies' servers. Like every website, our hosting provider receives your IP address and basic browser details when you open a page, to deliver it and to protect the site from attacks. See the cookie notice.

Lawful basis: our legitimate interest in running a secure website (Article 6(1)(f)).

How the forms work

The forms on this website do not send or store anything themselves. When you press send, your own email app opens with a message to us, and nothing leaves your device until you send that email. It then travels through your email provider and ours, and we receive it as an ordinary email.

Who we share it with

We do not sell your information or use it for marketing lists. We share it only with:

Transfers outside the UK

Google Workspace and Cloudflare may process information outside the UK, including in the United States. When they do, the transfer is covered by UK adequacy regulations (including the UK–US data bridge for certified companies) or by the contract terms approved for that purpose, such as the International Data Transfer Addendum.

How long we keep it

Your rights

You can ask us for a copy of your information, ask us to correct it, delete it or restrict how we use it, object to how we use it, and ask for information you gave us in a portable form. These rights have some limits in law; we will tell you if one applies. We answer within one month, and it is free.

We make no decisions about you by automated means alone.

You do not have to give us any information, but without contact details we cannot answer you, and without the details of a job application we cannot consider it.

Changes

We will update this notice when the way we use information changes, and the date at the top will show when.
